ManageClear ("we," "us," or "our") operates the ManageClear AI receptionist service available at manageclear.com. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

1. Information We Collect

We collect information you provide directly when you sign up and use our service:

Business name, industry, and contact details
Owner name and email address
Business phone number and website
Business hours, services, and FAQs you configure
Payment information (processed securely by Stripe — we never see your card number)

We also collect information generated through your use of the service:

Call recordings and transcripts from calls handled by your AI receptionist
Caller phone numbers, names, and messages
Inbound email content forwarded to your ManageClear address
Website chat conversations via the widget
Usage data such as login times and dashboard activity

2. How We Use Your Information

To provide, operate, and improve the ManageClear service
To send you call summaries, email notifications, and weekly digests
To generate AI-powered call and email responses on your behalf
To process your subscription payments via Stripe
To respond to your support requests
To comply with legal obligations

We do not sell your personal information or your callers' information to third parties.

3. Third-Party Services

We use trusted third-party providers to operate the service. Each handles data in accordance with their own privacy policies:

Stripe — payment processing
Vapi — AI voice call handling and phone number provisioning
Resend — transactional email delivery
Anthropic (Claude) — AI language model used for summaries and email replies
Netlify — hosting and infrastructure
Twilio (Growth Suite only) — SMS delivery for follow-up messages

4. Call Recording and AI Disclosure

Calls handled by your ManageClear AI receptionist may be recorded and transcribed to generate summaries and improve accuracy. As the business owner using ManageClear, you are responsible for complying with applicable call recording laws in your jurisdiction. Many U.S. states and countries require that all parties to a call be informed that the call is being recorded. We recommend configuring your AI to disclose this at the start of each call if required by your local laws.

5. SMS Communications

The Growth Suite plan includes automated SMS follow-up messages sent to callers after calls. You are responsible for ensuring that callers have provided appropriate consent to receive SMS messages as required by the Telephone Consumer Protection Act (TCPA) and other applicable laws before enabling this feature.

6. Data Retention

We retain your business data and call/email history for as long as your account is active. If you cancel your subscription, your data is retained for 30 days and then deleted, unless you request earlier deletion.

7. Data Security

We use industry-standard security measures including encrypted connections (HTTPS) and access controls to protect your data. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

You have the right to access, correct, or delete your personal information at any time. To exercise these rights, email us at hello@manageclear.com. We will respond within 30 days.

9. Children's Privacy

ManageClear is intended for business use by adults. We do not knowingly collect information from anyone under 18 years of age.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active subscribers by email of any material changes. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
